International Group Registration Now Open!
4 EASY STEPS TO INTERNATIONAL GROUP REGISTRATION
These steps are directed to the Travel Agent or Group Coordinator who will be managing the registration for a group of 10 or more international travellers.
STEP 1. - COMPLETE AND SUBMIT: the Group Hotel Reservation Form. Submit this form to Experient, Inc., the AES Housing Bureau, in order for the $750 administrative fee to be waived!
DEADLINE - Monday, October 7, 2013
Please note: Experient will require each registrant name in your group to accept your reservation. All questions regarding group housing should be directed to Experient, Inc., at firstname.lastname@example.org.
STEP 2. - COLLECT YOUR REGISTRANTS' INFORMATION: Use this Participant List Form to submit your list of attendees for registration.
Please note: the following information is required to register your participants, and will only be accepted on the electronic document provided through this link. We cannot accept the tour leader's contact information for Annual Meeting participants.
- Designation(s) (MD, PhD, RN, MBBS, FAAN, etc.)
- Institution/Company/Hospital Name
- Mailing Address
- Email Address
- Professional Title/Position (Adult/Pediatric Neurologist, Nurse, Neurosurgeon, Professor Neuroscientist, Medical Science Liaison, etc.)
STEP 3. - COMPLETE AND SUBMIT: the online Group Coordinator Form to alert AES Registration that your group will be attending and to activate your information in the system.
DEADLINE - Wednesday, November 6, 2013. Groups will not be accepted after this date.
Registrants from US:
If your registrant lists includes physicians working in the United States whose registration is being paid for by a pharmaceutical company, this doctor must provide written permission to be registered with your group. This statement must be signed by the individual, scanned and emailed directly to email@example.com, or faxed to 860.586.7550. This letter must state: the registrant accepts the offer of paid registration the event registration is for: AES 2013 Annual Meeting, in Washington, DC,and the name of the company sponsoring the registration.
Badge Pick-Up Appointment
Each Group Coordinator or onsite Group Leader will be scheduled to pick up badges during a 30 minute appointment on Thursday, December 5, between 10 a.m. - 5 p.m., local time. This appointment provides the onsite group leader time to make any changes to participant list, transfer badge names, pay fees if applicable, and collect final badges.
Please Note: There will be no appointments scheduled for Group Leaders after Thursday, December 5 at 5 p.m.; individual participants will pick up their badges at the registration desk beginning Friday, December 6, during regular registration hours.
Transfers / Name Changes
All changes after Wednesday, November 6 will be processed for an additional $75 fee, through Thursday, November 21. Transfers/Name changes will not be accepted after this date and will need to be processed onsite during the pre-arranged appointment on Thursday, December 5, 2013.
Cancellations will be accepted through Thursday, November 21, 2013 11:59 p.m. ET, with a $50 administrative fee per cancellation. Cancellations and no-shows will not be refunded after this date.

Acknowledgement of Terms
By registering for this meeting you acknowledge and agree that commercial or promotional distribution, publishing or exploitation of speaker sessions, content, or materials from the AES Annual Meeting is strictly prohibited unless you have received the express prior written permission from AES or the otherwise applicable rights holder. When you attend an American Epilepsy Society (AES) event or program, you enter an area where photography, audio, and video recording may occur.
By entering the event premises, you consent to photography and its release, publication, exhibition, or reproduction to be used for news, newsletters, promotional purposes, advertising, inclusion on websites, or any other purpose by AES and representatives. You release AES, its officers and employees, and each and all persons involved from any liability connected with the taking, digitizing, or publication of photographs and computer images. You have been fully informed of your consent, waiver of liability, and release before entering the event.
Photography and Recording of Programs
The AES strictly prohibits all photography (flash, digital, or otherwise), audio and/or videotaping during the Annual Meeting except by authorized photographers. Equipment will be confiscated for unauthorized recording. Photographs taken during this meeting by the American Epilepsy Society may be used in any of the Society’s communications and materials in the furtherance of the organization’s goals and purposes.
