When and where is the 2017 AES Annual Meeting being held?

The 2017 meeting will be held December 1-5 in Washington, D.C. at the Walter E. Washington Convention Center.

When does registration for the meeting open?

Registration will open July 6, 2017.

Which hotels are closest to the convention center?

Abstracts

When can I submit my abstract for presentation at the 2017 Annual Meeting?

The abstract submission window is now closed.

Am I automatically registered for the AES Annual Meeting if I submit an abstract?

No. You must register for the meeting separately. Registration details can be found here.

Can I withdraw my abstract after the submission deadline and after acceptance?

Yes. To withdraw, please send an email containing the abstract title, authors, and ID to info@aesnet.org by Monday, October 30, 2017, with "Abstract Withdrawal" in the subject line. A "withdrawn" notice will then be placed on the poster board in the poster hall during the meeting.

If I am the first author of an abstract and I am unable to attend the meeting, what should I do?

Although the first author is preferred, any co-author may present without having to notify AES.

When will I know if my abstract has been accepted?

Acceptances will be sent via email notification at the end of August to the author listed as the presenter. The email will also note which session for which the abstract has been chosen.

Are instructions available for poster and platform presenters?

Yes. Detailed instructions will be made available in October 2017.

Can I photograph or video in the poster hall?

No. Photography and video are strictly prohibited in the poster hall.

Is the abstract processing fee refundable?

No. The abstract submission fee is non-refundable. Once the abstract has been submitted, it is considered processed.

What size is the poster board?

The board is 4 feet high by 8 feet wide. AES does not specify a size for the actual poster, but it is required to fit within the size of the board itself. The usable surface of the poster board is 44 ¾” H x 91” long.

Is there A/V available at the poster board?

No. AES does not allow or provide A/V in the poster area.

 

Education

Is CME credit available for sessions at the meeting?

Yes. Details can be found on the Continuing Education Credit page.

Is Nursing CE credit available for sessions at the meeting?

Yes. Details can be found on the Continuing Education Credit page.

Is Pharmacist CE credit available for sessions at the meeting?

Yes. Details can be found on the Continuing Education Credit page.

How do I claim credit for my attendance at educational sessions during the meeting?

  • For CME or a certificate of participation in a CME activity, access to CME/CE Credit claim is based on your registration type. Click here to review eligible registration types.
  • For Nurse or Pharmacist credit, follow the instructions provided by American Epilepsy Society's partner, Advancing Knowledge in Healthcare, Inc. Nursing and Pharmacy credit (per session) is based on attendance as well as completing of an online evaluation form. Additional information will be posted prior to the meeting. How can I get a certificate of attendance?

If you don't need a continuing education certificate, just proof of attendance, contact the registration team at aes@experient-inc.com.

 

Exhibits, Sponsorships, and Advertising

Can my company advertise or promote our product with a sponsorship at the AES Annual Meeting?

Only companies with an exhibit booth may advertise or provide sponsorships at the AES Annual Meeting. Advertising and sponsorship opportunities are available in the prospectus.
