Is AES having its Annual Meeting this year? 

Yes. The 2021 AES Annual Meeting will be held in Chicago, Illinois at McCormick Place West from December 3 to 7, 2021. We are looking forward to welcoming the epilepsy community and enjoying our time together again! 


Is there a virtual option? 

Yes. If you cannot get away for the in-person meeting or if you simply want to extend the AES 2021 opportunity to all your trainees, we are pleased to offer AES 2021 Digital Select, a new digital option that includes streaming of all symposia and other selected education sessions, access to the online poster hall, and on-demand access to session recordings after the meeting. Registration rates for this option are also below.


If I attend in person, can I also access Digital Select? 

Yes. If you register for the in-person meeting, you will also receive Digital Select as part of your registration. 


Can I share my AES 2021 Digital Select login? 

No. Your login credentials are unique to your registration and cannot be shared. A shared login will prevent you from earning credit for any sessions you attend.

How much will it cost to register? 

The 2021 registration fees will be posted on the AES website shortly. We are pleased to confirm that the fees for the in-person meeting have not increased since 2019. If you visit our website, click Annual Meeting and then Registration to see all the fees by category—meaning member or non-member prices, early vs. regular, and by your type of role or job you have. The pricing for the digital option will be announced during the summer of 2021. 


When will registration open? 

Registration will open in September 2021. The early bird period will run through Friday, November 5, 2021 at 11:59 PM PST. We have extended the early bird period this year to provide ample time for all attendees to evaluate travel and digital options.

What precautions related to the pandemic are being taken onsite? 

AES will follow guidelines provided by the CDC, the state of Illinois, the Chicago Department of Health, McCormick Place, and the WHO. The health and safety of our attendees, exhibitors, vendors, and staff are of utmost importance. Specific details will be provided this fall. 


What if I register for the in-person meeting and am unable to attend? 

You may cancel your AES Annual Meeting in-person registration without penalty until Monday, November 22 at 7:00 AM PST.  

Those who register for AES 2021 Digital Select will receive access to on-demand recordings and are not eligible for refunds. Should pandemic-related circumstances require that AES cancel the in-person meeting, of course, registrants can expect to receive a full refund or an option to shift to the digital portion. 

 

When is the last day I can cancel my registration for a refund? 

You may cancel your AES Annual Meeting in-person registration without penalty until Monday, November 22 at 7:00 AM PST. Those who register for AES 2021 Digital Select will receive access to on-demand recordings and are not eligible for refunds.  

Should pandemic-related circumstances require that AES cancel the in-person meeting, of course, registrants can expect to receive a full refund or an option to shift to the digital portion. 


When is the last day I can switch my registration from in-person to digital? 

If you register for the in-person meeting and wish to switch to AES 2021 Digital Select, you must submit your request by Wednesday, December 1 at 7:00 AM PST. There is no penalty for switching your registration. You will be refunded the difference in registration rates for the category in which you registered. 


Is there any chance AES will cancel the in-person meeting? 

We are monitoring the COVID-19 situation closely. Our focus is on creating a safe, engaging, and valuable in-person event for the epilepsy medical and research community. Should there be unexpected pandemic developments, AES will follow the recommendations of the CDC, the state of Illinois, the Chicago Department of Health, McCormick Place, and the WHO. The safety and well-being of our attendees, exhibitors, and staff remain a top priority.  


If the in-person meeting has to be canceled, will I get a refund? 

In the unexpected event that the in-person meeting has to be canceled, paid registrants, exhibitors, sponsors, and advertisers can expect to be offered the option of a digital alternative or a full refund. The one exception is that abstract submission fees will not be refunded, because a digital poster hall will be offered whether or not the AES meeting is in-person or digital only.
